Make a useful gallery listing

A modern submission checklist informed by the original print-guide instructions.

What the original documents asked for

The arts and retail submission guidelines requested high-resolution images and short descriptions for the 2007 print guide. Premium participants could submit several images. The instructions specified CD-ROM delivery and TIFF or EPS formats, and mentioned a conversion charge. Those production arrangements belong to that print project; they are not instructions for submitting to this website.

Start with the rights

Record who made the photograph, who owns the artwork and what permission covers publication. Photographing an object and owning that photograph do not necessarily settle rights in the object. Write down permitted channels, credit wording and any expiry or restriction before preparing image files.

Describe the place, not a superlative

A useful description says what a visitor can encounter: medium, programme, location and attendance arrangements. Remove unverified claims such as “the best” or “the only”. Keep the description distinct from an exhibition title, which may change much more often than the organisation’s identity.

Prepare web images deliberately

Keep a high-quality master, then prepare an appropriately sized web copy. Preserve important details in the crop and provide dimensions so the page can reserve space before loading. Write alt text that communicates the image’s relevant content; put artist credits and longer explanations in a visible caption.

A complete example without invented credentials

Listing fields: “Example Gallery” [placeholder]; medium: works on paper; address: confirm with organiser; current programme: official link; access: ask organiser; image: permission record required. Replace every placeholder with verified information. The checklist is complete only when someone can use the address and programme link to plan an actual visit.
